For recruiting and staffing teams

Email verification for recruiters who need candidates to reply

Candidate databases go stale as people change jobs, and applicants mistype their own address on job boards. Verify the database you have, check new applicants as they apply and send passive candidate outreach only to inboxes that exist.

Email verification for recruiting teams

Email verification tells recruiting teams which candidate addresses still reach a real inbox before an outreach sequence or interview invite goes out. RocketVerifier is the strongest choice for recruiters: 99.5% accuracy, a live SMTP check that never emails the candidate, catch-all verdicts on employer domains, and typo suggestions for applicants who typed gmial.com. Unknown results and duplicates are never charged, and credits never expire.

The problem

Where bad addresses hurt recruiting teams

  • Candidate databases decay

The candidate you placed three years ago has moved on, and the work address in your database went with them. Re-engage that list cold and the bounces start on the first send.

  • Applicants mistype their own email

Job board and careers page applicants type fast on phones. One wrong letter and the interview invite, the assessment link and the offer never arrive, and the candidate thinks you ghosted them.

  • Passive outreach burns your domain

Sourcing tools guess work addresses from name patterns. Sequence those guesses unchecked and every bounce counts against the domain your whole desk sends from.

What we flag

Every address gets a verdict and a reason

Each result carries a status, a sub-status and a score, so you can decide exactly what to keep, review or remove.

  • Left the company (mailbox_not_found, account_disabled)

The work mailbox of a candidate who changed jobs is gone. We report it undeliverable so you go looking for a personal or newer address instead.

  • Application typos (possible_typo)

gmial.com, hotmial.com and .con endings are flagged, with the likely correct address returned in did_you_mean.

  • Catch-all employer domains (catch_all)

Many companies accept mail for any address. Each one gets a catch_all_verdict of send_safe, send_with_caution or avoid, so a guessed address is not a coin toss.

  • Shared inboxes (role_based)

hr@, info@ and similar addresses reach a team, not the candidate. They come back risky so you keep them out of personal outreach.

  • Throwaway applications (disposable)

Applicants using disposable inboxes are flagged undeliverable, which keeps junk applications out of your pipeline.

  • Opted-out candidates (do_not_mail)

Addresses on your suppression list come back as do_not_mail, so a candidate who asked to be removed stays removed when an old list is reimported.

Workflow

How it fits your day

  1. Clean the candidate database

Export candidates from your ATS or CRM and upload the file as a bulk job of up to 100,000 rows. Duplicates left over from old imports are never charged.

  2. Check applicants as they arrive

If your ATS or careers page can trigger Zapier, Make, n8n or a webhook, send each new applicant's email to the API and store the result next to the candidate.

  3. Fix typos before the invite

When a result comes back possible_typo, the did_you_mean field holds the likely correct address, so a coordinator can confirm it by phone or text before scheduling.

  4. Verify sourced prospects first

Run guessed work addresses through Clay, Google Sheets or the bulk uploader, then sequence only deliverable addresses and send_safe catch-alls.

  5. Keep the talent pool fresh

Set a monitor to re-verify your core talent pool of up to 5,000 addresses on a schedule, so a hiring surge starts from a clean list.

FAQ

Recruiting: questions, answered

Can I verify candidates without exporting from my ATS?

Yes, if your ATS can trigger Zapier, Make or n8n, or call a webhook. Each new candidate's email goes to the RocketVerifier API and the status, sub-status and score come back to a field or note. For the existing database, a one-time export and bulk upload is the fastest route.

Does verification send an email to the candidate?

No. The SMTP check stops before any message is sent, so the candidate never sees anything. We ask the receiving server whether the mailbox exists and close the connection.

Why does a candidate's old work address show as undeliverable?

When someone leaves a job, the employer disables or deletes the mailbox. We report that as mailbox_not_found or account_disabled. Find a personal address or a newer work address before you reach out.

How should I handle catch-all company domains when sourcing?

Use the catch_all_verdict. send_safe addresses match the domain's address pattern and belong in the sequence, send_with_caution goes in a smaller test batch, and avoid gets dropped. The verdict is included on every plan at no extra cost.

What does it cost to clean a large staffing database?

Each verification uses 1 credit, from $6 for 1,000 to $1,149 for 1 million on pay-as-you-go. Duplicates and unknown results are never charged, and pay-as-you-go credits never expire, so nothing from a big one-off clean goes to waste.
